Privacy policy
Last updated 29 Oct 2026
WhenToGo is designed to collect as little personal information as possible. You don't need an account, and we never ask for your name.
Who we are
WhenToGo is run by M. Purvis, a sole trader in England, who is the data controller for this website. Contact: hello@whentogo.co.uk.
What we collect and why
| Saved places, starting town, alerts, plans | Kept on your own device so the planner remembers your choices. If you turn on alerts or plans, a copy is also stored with your device ID so they work next time. Legal basis: providing the service you asked for. |
|---|---|
| Device ID | The planner creates a random code on your device the first time you use it. Our server only sees a scrambled version of it, which links your reports so you can remove them and so we can spot spam. It is not linked to your name, email or phone. Legal basis: legitimate interests (running the service and preventing abuse). |
| Parent reports | When you report a visit, we store your answers (for example how busy it was, what you paid, how long you stayed) with your device ID and the date. The tick-box answers feed the figures other families see. Free-text notes are only seen by us and are used to correct the guide. Legal basis: legitimate interests. |
| Suggestions, problem reports, event tips | What you type, with your device ID. Seen only by us. Legal basis: legitimate interests. |
| Venue claims and emails to us | Your name, role and email, so we can reply and check you work at the venue. Deleted within 12 months of the last contact. Legal basis: legitimate interests. |
| Your location | Only if you tap "use my location". Your phone asks first, and the location stays on your device. It is used to sort places by distance and is not sent to us. |
| Technical data | Our host, Cloudflare, processes your IP address and browser details to deliver the site, keep it secure and stop spam (including its "are you human" check on forms). We use privacy-friendly visit statistics with no cookies and no tracking across sites. |
Who else is involved
- Cloudflare hosts the website and database, and runs the spam check. Data may be processed outside the UK under approved safeguards.
- Postcodes.io: when you type a postcode or town to search near, that text is sent to the free postcodes.io lookup service to find where it is.
- Venue and booking websites: when you follow a link to another site, that site's own privacy policy applies. Some links are affiliate links (see how we make money); the other site may set its own cookies to record the booking.
We never sell your information or use it for advertising profiles.
How long we keep it
Parent reports are kept while they help keep the guide accurate, and you can remove your own at any time from the Help tab. Saved alerts and plans are deleted after 2 years without use. Venue claims and emails: up to 12 months after the last contact.
Your rights
You can ask to see, correct or delete information about you, or object to how we use it. Because we don't know who you are, include your device ID (see your data) or the email you used. Email hello@whentogo.co.uk and we'll reply within one month. You can also complain to the Information Commissioner's Office at ico.org.uk.
Children
WhenToGo is made for parents and carers. It has no accounts, no profiles and no advertising tracking.
Changes
If we change this policy, we'll update the date at the top.
